Every WRICEF object has two specification slots: the Functional specification (FS) and the Technical specification (TS). Each slot holds one document from the project's document register. Once linked, the document's status drives the object's FS or TS stage, so the register and the WRICEF list always agree.
Before you start
Check first
- The WRICEF object is saved (the Specifications section appears after it is created)
- For uploads: a Professional, Enterprise or personal plan, because the document register is part of Professional
- The specification file, under 50 MB
How to upload a specification
- Open the object
In Scope, WRICEF, select the object.
- Find the slot
Under "Specifications", find Functional specification or Technical specification.
- Upload
Select Upload new. Choose the File. The Title is suggested from the object ID and title, and the Version starts at 0.1. Change either if you like.
- Link it
Select Upload and link. The file is added to the register as a draft, linked to this object.
How to link a document already in the register
- Choose Link existing
In the slot, select Link existing.
- Pick it
Choose the document under "Document in the register".
- Link
Select Link.
How to replace a version
- Choose Replace
In the slot, select Replace.
- Upload the new file
The Version moves on by one, for example 1.2 becomes 1.3. Check the Title.
- Confirm
Select Upload and replace. The new file is linked as a draft, and the previous version is marked superseded.
How the stage follows the document
Document status
- Draft
- In review
- Approved
- Superseded or archived
FS or TS stage
- In progress
- Reviewed
- Approved
- Left as it was
While a document is linked, the FS or TS field in the lifecycle says "Follows the linked document" and cannot be changed by hand. To move the stage on, change the document's status in the document register.
Good to know
- Each slot shows the document ID, title, Version, Status, Author and Reviewer. Open opens the file in a new tab.
- In the WRICEF table, the FS and TS columns show the status chip and a document icon. A crossed-out icon means no document is linked. Hover to see the version, status, author and reviewer.
- Linking only needs the right to edit the object. Uploading also needs the right to upload documents.
- In the demo workspace, uploads are turned off.
- A specification can go through review and signature like any other document. See E-signatures.
Who can do this
Admins, project managers, functional leads and technical leads can link and upload specifications on any object. Consultants can do it on objects where they are the functional or technical owner.
