What it's for
ProjectCAPEX does not supply AI. You bring your own key for an AI provider, and the agents, the assistant and speech use it. Requests go from your device straight to that provider, under your own account. ProjectCAPEX never receives your key or your prompts, so you pay your provider directly and ProjectCAPEX adds no charge for AI.
AI is off until you turn it on. Open Settings and choose the AI tab. Your choices are saved to your account and follow you to every device. Your key does not: it stays on the device where you saved it.
Before you start
You need
- An account with an AI provider and an API key from it
- A plan that includes AI: Professional, Enterprise, Solo, Lifetime Solo or Consultant
- A company that has not blocked AI on its projects
How to turn on AI and add your key
- Turn on Use AI
In Settings, AI, switch on Use AI. While it is off, nothing is sent to an AI provider.
- Choose a provider
Under Provider, model and key, pick your Provider. Each preset has a link, Where to get a key, to the provider's own key page.
- Paste your key
Enter it in Your key. When you leave the field, the app loads the provider's list of models.
- Pick a model
Choose or type a Model. A suggested model is filled in for each provider.
- Test and save
Select Test and save. The app checks the key with the provider, then says the key is saved on this device and shows Using, with the provider and model.
- Choose what AI may do
Under What AI may do, switch Agents and project updates on or off, and pick how Speech to text works.
The providers
- Anthropic. It has no speech service, so speech runs on your device.
- OpenAI
- OVHcloud AI Endpoints
- Mistral AI
- Groq
- Other OpenAI-compatible service, with your own Service address (https). It works in the desktop app only, which is not released yet.
What AI may do
- Agents and project updates: the AI agents, the assistant, status report drafts and health assessments. The Cutover and Gate Readiness agents need no AI and always work.
- Speech to text: Your AI provider (audio is sent once to your provider, with your key, and not kept by ProjectCAPEX), On this device (Whisper runs on this device and audio never leaves it), or Off, type only (hides the mic and dictation).
More on speech in Voice and dictation.
Your choice and your company's switch
You decide (Settings, AI)
- Turn AI on or off for yourself
- Pick the provider, model and key
- Allow agents, speech, or both
- Your key stays on your device
Your company can (Company admin, AI)
- Block AI on all of its projects
- Limit which providers people may use
- It cannot turn AI on for anyone
- It never sees your key
If a company you belong to has blocked AI, Settings, AI shows a note such as "AI is turned off by Acme for its projects". AI still works on other companies' projects. Admins set this in Company admin.
Good to know
- In a browser, the key is stored encrypted for that browser only. Signing in on another device or browser means adding the key there too.
- Select Forget key to remove the key from this device. Signing out also forgets it, so the next person on this device cannot use it.
- If your company only allows some providers and your key is for another one, AI on that company's projects asks you to choose an allowed provider.
- Each request carries what it needs from that project's records, which can include team members' names and roles. See Security and privacy.
- ProjectCAPEX keeps only what you keep: an accepted proposal, with the passage it was based on. A health assessment is saved to the project when it runs.
Who can do this
Everyone sets their own AI settings. Only a company owner or admin can block AI or limit providers for a company.
