What it's for

Agents read your project and suggest updates: new risks from meeting minutes, a draft status report, scope items from a document, or a readiness check on a quality gate. An agent never changes your project on its own. Every result is a proposal that you accept, edit or reject. Nothing is saved until you accept it.

Open the Agents page from the left rail inside a project. The page is headed Meet your agents and shows one card per agent. Each card says whether the agent uses AI or Rules, when it last ran, and has a Run button.

The seven agents

  • Health Assessment Agent (AI): reviews the plan, RAID log, budget and gates, and rates programme health with the reasons.
  • Status Report Agent (AI): drafts the status report for a period from live records, for you to review.
  • RAID Agent (AI): reads meeting minutes or pasted notes and proposes risks, issues, actions and decisions.
  • Scope Agent (AI): reads a scope of work document and proposes scope items, exclusions, assumptions and WRICEF objects.
  • Test Triage Agent (AI): groups failed tests and open defects by likely cause, with an owner for each group.
  • Cutover Agent (Rules): checks runbook timings, projects the finish and rates the go / no-go risk.
  • Gate Readiness Agent (Rules): checks a gate's criteria, evidence and sign-offs, and gives a readiness verdict.

The chips across the page (All, Planning, RAID, Reporting, Delivery, Governance) filter the cards. A Voice Agent also exists: it works through the assistant when you speak a request. See Voice and dictation.

Before you start

To run an AI agent

  • The company is on Professional, Enterprise, or a personal plan (Solo, Lifetime Solo or Consultant) that covers it
  • Your role on the project is Admin or Project manager, or you own the company
  • You turned on Use AI and Agents and project updates in Settings, AI
  • You saved a key for your AI provider on this device
  • The company has not turned off AI for its projects

How to run an agent and review its proposals

  1. Open Agents

Inside a project, select Agents in the left rail, then select Run on the agent's card.

  2. Choose the input

Each agent asks for what it reads: a period (From and To) for the status report, Meeting minutes or Pasted notes for the RAID Agent, a document for the Scope Agent, a Test cycle for Test Triage, or a Gate for Gate Readiness.

  3. Run the agent

Select Run the agent. The drawer shows what the agent is reading while it works.

  4. Review each proposal

A banner says the items were proposed by the agent and that nothing is saved until you accept. Each proposal has Accept, Edit and Reject.

  5. Edit if needed

Edit lets you change the title, the owner (or Assigned to, for actions) and the workstream before you accept. Every WRICEF object needs a workstream.

  6. Accept

Accept saves the item and shows its new ID, with a link to open the module. Accept all saves every item you are allowed to add.

If you reject an item by mistake, select Undo. The drawer footer counts how many items you accepted, for example "3 of 5 accepted". To run again with a different source, select Change next to the source.

Good to know

  • AI agents run on your device and send the request straight to your own AI provider with your key. ProjectCAPEX never receives your key or prompts. See AI settings and your own key.
  • Accepted items are saved through the same checks as items you type in yourself, so your role still applies. If your role cannot add an item, its Accept button is off and a note says why.
  • An accepted item records which agent proposed it.
  • The Agent inbox link on the Agents page goes to Home, where agent proposals waiting for you appear. See Approvals inbox.
  • The prompt box at the top of the page hands your request to the assistant. See The assistant. The Scope Agent has its own page: Scope agent.

Who can do this

The Agents page is part of Professional and Enterprise, and of the personal plans. AI agents need the Generate AI analysis permission, which the Admin and Project manager roles have, and the company owner. Anyone who can open the Agents page can run the two rules agents. Accepting a proposal also needs the permission to add that kind of record, as set out in Roles and permissions.
