Dashboards turn a project's registers into one page you can read in a minute: numbers, charts, timelines and who is overloaded. Every project has a built-in Executive overview, and you can make your own, shared with the project or private to you. Dashboards are part of the Professional plan.

Before you start

Check first

  • The company is on Professional, Enterprise or a personal plan
  • For a dashboard everyone on the project sees (Main): the Admin, Project manager or Functional lead role
  • For a private dashboard: any role on the project

How to create a dashboard

  1. Open Dashboards

In the project, select Overview, then the Dashboards tab.

  2. Start one

    Select New dashboard.

  3. Name it and choose who sees it

Type a Name. Under "Who can see it", choose Main (everyone on the project) or Private (only you).

  4. Pick a template

Blank, Executive, RAID, Testing, Cutover or Budget. Each template starts with a sensible set of widgets.

  5. Create

Select Create dashboard. It opens in Edit mode, ready for changes.

How to add and arrange widgets

  1. Add one

In Edit mode, select Add widget.

  2. Choose the type

Numbers, Chart, Battery, Calendar, Timeline, Workload, Table, RAG summary or Agent findings. The preview uses this dashboard's data and filters.

  3. Set it up

Give it a Widget name and pick the Data source, then the settings for that type, such as Chart type and Group by, or Columns and Rows for a table.

  4. Filter it if needed

Use "Filter this widget" to narrow it further. It applies on top of the dashboard filters.

  5. Add

Select Add widget. Move widgets with the arrows or the drag handle, and use the widget menu to resize or remove them.

The widget types

  • Numbers: one big figure, a count, sum or average, with an optional target.
  • Chart: bar, stacked bar, pie, donut or line over a field.
  • Battery: the status mix as one bar: done, working on it, stuck.
  • Calendar: items on their date, by month or week.
  • Timeline: items from start to end, with a today line.
  • Workload: people by week, with overload in red.
  • Table: a short list with the columns you choose.
  • RAG summary: overall health and the reasons behind it.
  • Agent findings: the latest Cutover or Gate Readiness verdict.

Widgets can read plan tasks, milestones, risks, issues, actions, decisions, change requests, WRICEF objects, test cases, cutover tasks, cost entries, budget lines, cost lines, quality gates and gate criteria.

Using a dashboard

  • The filter bar applies to every widget at once: search text, a date range, People, Status and Workstream.
  • The widget menu offers Show data (the table behind a chart), Rename, Data source and filter, Duplicate, Size (Small, Medium, Large or Wide) and Remove.
  • Present shows one widget at a time, full screen, moving on every 10 seconds. It pauses while your pointer or focus is on the widget. Use the arrows to step, and Exit or Esc to leave.
  • Export PDF opens your browser's print dialog. The printout lists the filters and the export date.
  • Star a dashboard to list it first. Stars are kept on this device.
  • Use ⋯ next to the dashboard name to Rename dashboard or Delete dashboard.

Good to know

  • The built-in Executive overview cannot be changed. Select Save as a dashboard to make your own copy from the Executive template.
  • A Main dashboard can be changed by anyone whose role may manage dashboards. A private one can only be changed by the person who made it.
  • Widgets show the project's own data under your access. If a register is part of a module your plan does not include, those widgets stay empty.
  • Budget widgets spread the baseline over the project dates, as the Budget tab does, so the figures match it.
  • With reduced motion turned on in your device settings, Present starts paused.
  • For portfolio-wide figures across projects, use the Portfolio overview and its drill-downs.

Who can do this

Admins, project managers and functional leads can create and change Main dashboards. Anyone on the project can create private dashboards for themselves and view Main ones.
