Each tile on the portfolio overview opens a drill-down dashboard. There are six, and you can move between them with the links across the top. They use the same filters as the overview, so if you filtered to one sponsor, every drill-down shows that sponsor's programmes.
How to use a drill-down
- Open it
Select a tile on the overview, or go to app.projectcapex.com/portfolio/ followed by status, budget, schedule, raid, quality or resources.
- Switch area
Use the links Status, Budget, Schedule, RAID, Quality and Resources at the top.
- Filter
Change Programme, RAG or Sponsor in the filter bar. The filter stays when you switch area.
- See the numbers
Every chart has Show data, which swaps the chart for its table. Select Show chart to switch back.
- Go to the source
Select a programme name to open the matching module in that project, such as its Budget or Risks.
- Go back
Select Portfolio overview at the top left.
The six dashboards
- Status ("Overall status"): programmes by phase and RAG, then a list for each RAG with the signals behind it.
- Budget: budget, actual and forecast by programme with currency and variance, and "Portfolio spend over time": cumulative planned budget, actual cost and the forecast at run rate.
- Schedule: milestones across programmes on one timeline with a Today line, schedule variance per programme, go-lives in the next 90 days and late milestones.
- RAID ("Risks, issues and actions"): open risks by programme and severity, the top open risks with owner, score and target date, overdue actions, and what is escalated.
- Quality ("Quality gates and testing"): gate status by programme, how many of the next gate's criteria are met, and the test pass rate with failed and blocked tests.
- Resources: utilisation by programme and month in full-time equivalents, people today, average allocation, and headcount by type.
Key terms
- RAG: green On track, amber At risk, red Off track.
- Phases: Discover, Prepare, Explore, Realize, Deploy and Run (SAP Activate). Programmes without a phase show as Not set.
- EAC (forecast at completion): actual cost plus the recent monthly run rate for the months left.
- Schedule variance: how far the work done is ahead of or behind the work due by today, in days.
Good to know
- Money in the Budget drill-down is in the reporting currency. Programmes without a rate stay out of the totals and the spend curve. See Reporting currency and rates.
- Go-lives are milestones whose Milestone type is Go-live, set in the task form or in a plan import. Late milestones are open milestones past their date.
- Quality uses the criteria of each programme's next gate that has not passed yet. Met and waived criteria both count as met.
- Test pass rate is passed tests divided by executed tests. Tests not yet run do not count against it.
- Resources shows three months back and eight ahead. Headcount groups by resource type when the register has one, otherwise by organisation.
- The drill-downs read the Budget, Testing and Resources modules, which are part of Professional. On the Team plan those parts stay empty.
- Everything here is read only.
Who can do this
Everyone who can open the portfolio. Each person sees the programmes and registers their access allows.
