The portfolio overview adds up every programme you can open into one page. Money is shown in one reporting currency, so programmes in euros, dirhams and dollars become a single total. Each figure is a tile that opens a drill-down dashboard with the detail behind it.

What it is for

  • Answering "how is the portfolio doing?" in one glance, for a PMO lead, a sponsor or a steering committee.
  • Spotting which programmes are off track, over budget or about to go live.
  • Jumping from a portfolio figure straight to the programme module behind it.

How to open it

  1. From Home

Select Home, then the Portfolio tab. People who see every programme of a company with two or more programmes land here first.

  2. As its own page

Go to app.projectcapex.com/portfolio for the same overview on a page of its own.

  3. Filter

Use Programme, RAG and Sponsor (and Company, if your programmes span several companies). The count shows how many programmes are in view. Clear filters resets them.

  4. Drill down

Select any tile to open its dashboard. See Portfolio drill-downs.

The tiles

  • Total budget, Actual to date, Forecast at completion and Variance, all in the reporting currency. Variance says Within budget, At risk or Over budget.
  • Programmes by RAG: how many are On track, At risk and Off track.
  • Next go-lives: go-live milestones in the next 90 days.
  • Open critical and high risks across the programmes.
  • Gates due: quality gates due in the next 60 days, and how many are overdue.
  • Resource utilisation: the average allocation of the people on the programmes today.

Under the tiles, the Programmes table lists every programme with its RAG and phase, budget, actual, EAC, variance, schedule, next milestone, high risks, and sponsor and PM. Use Sort by and the arrow button to sort it. Select a programme name to open it.

Key terms

  • RAG: the programme's health from its project settings. Green is On track, amber At risk, red Off track.
  • EAC (forecast at completion): actual cost to date plus the run rate for the months left. Where a programme has no budget lines yet, the Forecast at completion typed on the project is used.
  • Variance: budget minus EAC. Negative means a forecast overrun. 1 to 5% over is At risk, more than 5% over is Over budget.

Good to know

  • Money is converted at your company's own rates, not live market rates. The line under the money tiles says "Converted at company rates as of" the oldest rate used. See Reporting currency and rates.
  • A programme whose currency has no rate is left out of the totals and named in the note, for example "1 programme not converted, add a rate for GBP". In the table it shows in its own currency, marked "not converted".
  • The portfolio is read only. You change figures in each project.
  • You only see programmes you can open. If your role cannot read a register (the cost log, say), the page tells you which figures leave it out.
  • Next go-lives counts open milestones whose Milestone type is Go-live. Set the type in the task form in each plan, or in a Milestone type column when you import a plan. A milestone with no type set does not count. See Gantt and milestones.
  • The sponsor shown is the person with the client sponsor role on the project's Resources. Budget figures come from the Budget module, which is part of Professional.
  • Your filters live in the page address, so a link you share or a drill-down keeps them.

Who can do this
