The Gantt view shows the same tasks as the Main table as bars on a timeline. The Milestones tab lists the key dates in order, with how many days are left. Both read from the plan, so there is nothing extra to keep up to date.

How to use the Gantt

  1. Open it

In the project, select Plan, then the Gantt view at the top.

  2. Zoom

Choose Week, Month or Quarter. The timeline scrolls to today when it opens.

  3. Read the bars

Hover over a bar to see the task name, status, dates and progress. The shaded part of a bar is the progress.

  4. Narrow it down

The same filters as the Main table apply: search, date range, Assignee, Status, Phase and Workstream.

  5. Edit a task

Select a bar, a milestone diamond or the task's name in the list on the left to open its form.

Dependency lines

Links from the Dependencies tab are drawn as arrows from one bar to the next. An arrow leaves the predecessor and points at the successor, from the edge its type uses: a Finish → Start link runs from the end of one bar to the start of the next.

  • A grey arrow is a link whose dates fit. A red arrow is a Date conflict: the successor's dates break the link.
  • Hover over a line or a bar to read why, for example "Date conflict: Data load starts 5 days before Build finishes." A task with a conflict also shows a warning mark next to its name.
  • The Show dependencies switch, next to the colour key above the Gantt, turns the lines on or off. It shows how many links there are and how many are in conflict. Your choice is remembered in this browser.

Colours on the Gantt

  • Each phase has its own colour, Discover to Run. A task takes its phase colour, or its parent's.
  • Completed tasks are green, Delayed tasks amber and Blocked tasks red. Tasks not started yet are paler.
  • Milestones are small diamonds. The dashed line marked "Today" is today.

How to mark a milestone

  1. Open the task

Select the task in the plan, or create a new one with New task.

  2. Mark it

Tick Mark as milestone, or set the Task type to Milestone.

  3. Pick its type

Choose the Milestone type: Phase gate, Go-live, Cutover start, Data load, UAT sign-off, Training complete or Other. The field only shows for milestones. Go-lives appear on the portfolio's Next go-lives tile.

  4. Date it

Set its End date. The Milestone calendar uses the end date, so it is simplest to give a milestone the same start and end date.

  5. Save

Select Save changes or Create task.

The Milestone calendar

Select Plan, then the Milestones tab. "Next 3 milestones" shows the three nearest open milestones with the days left. Anything within 7 days is marked Due soon. "All milestones" lists every milestone in date order with its phase, status and how many days are left or overdue.

Good to know

  • Phases (SAP Activate): Discover, Prepare, Explore, Realize, Deploy and Run.
  • Completed and cancelled milestones drop out of "Next 3 milestones".
  • Milestones also feed the "Next milestone" on project cards and the Schedule drill-down of the portfolio.
  • You add, change and delete links on the Dependencies tab. The Gantt only draws them.
  • Dragging bars is not supported. Change dates in the task form.
  • On a narrow screen, scroll the Gantt sideways.
  • A milestone's type shows on the Milestones tab and in the diamond's hover text, for example "Go-live milestone".

Who can do this

Everyone on the project can view the Gantt and the Milestone calendar. Admins, project managers, functional leads and technical leads can create and change milestones.
