The Projects page lists every company you belong to, each with its projects. If you told ProjectCAPEX you run projects for several clients, the page is called Clients and the words change to match. The same cards appear on Home under "Your projects" and on each company's page.

How to use the Projects page

  1. Open it

Select Projects (or Clients) in the left rail.

  2. Choose the layout

Use Grid for cards or List for one row per project. The app remembers your choice.

  3. Open a project

Select a project's name. The whole card is one link.

  4. Add things

Use New company at the top, or New project next to a company's name. See Create a project.

  5. Archived companies

If any company is archived, Show archived brings it back into view.

What a card tells you

  • Name and code, and the status when it is not simply in progress: Planning, On hold, Completed, Cancelled or Closed.
  • Health: On track, At risk or Off track. This is the project's RAG.
  • A warning line for a project that needs attention: an overdue gate, a forecast over budget, a late milestone, the top open risk, or how far behind plan it is.
  • Phase: the current SAP Activate phase, "phase 3 of 6", a six-part line, and the plan's percentage complete.
  • Spent against the budget, with a bar that turns amber or red when the forecast runs over. While the figures load, it shows the Budget only.
  • Next milestone with its date, "in 12 days" or "5 days late". With no upcoming milestone, the Schedule line says how far ahead or behind plan the work is.
  • People: the programme manager and the sponsor, and counts of open critical and high risks.

The list view shows the same facts in columns: Programme, Health, Phase, Budget, Next milestone, Risks and People. A blank reads "Not set" or "None" rather than a dash.

Key terms

  • RAG: the project's health in three colours. Green is On track, amber At risk, red Off track.
  • Phases (SAP Activate): Discover, Prepare, Explore, Realize, Deploy and Run.
  • Forecast: the EAC, or forecast at completion: what the project should cost in the end at the current rate of spend.

Good to know

  • Cards only show real figures. If a figure is unknown, it is left out rather than shown as zero.
  • Budgets in another currency are converted with the company's rates when a rate exists. Hover over the figure to see the conversion. See Reporting currency and rates.
  • When a project has budget lines, spending and the forecast come from its Budget module (part of Professional). Otherwise the card uses the Budget and Forecast at completion typed on the project. The sponsor comes from the Resources module, also part of Professional.
  • On a company's own page, the cards open the project's Dashboards page. Elsewhere they open the project's Summary.
  • The company page also has a search box and filters for status, health and type, and tabs for Projects, Team and Admin.
  • Press Ctrl K (⌘ K on a Mac) to search for a project by name from anywhere.

Who can do this

Everyone sees the companies and projects they belong to. The company owner and people with the Admin or Project manager company role see New project.
