A project is one implementation: an S/4HANA rollout, an upgrade, a BTP build, an AMS contract or anything else you run. You create it inside a company, and from then on it has its own plan, logs, modules and team.
Before you start
Have these ready
- The company the project belongs to (see Create your account and company)
- A project name, and a project code if you use them
- A start date and an end date
- The methodology: SAP Activate, Waterfall, Agile or Hybrid
How to create a project
- Find the company
Open Projects in the left rail. Next to the company name, select New project. On the company's own page, the button is Add project.
- Identity
Type the Project name. Add a Project code if you like (the placeholder suggests one from the company short code). Pick a Project type: S/4HANA greenfield, S/4HANA brownfield, BTP, AMS, Rollout, Upgrade or Custom. Add a short Description.
- Methodology and timeline
Choose the Methodology. For SAP Activate, also choose the Current phase. Enter the Start date and End date.
- Status and health
Set the Status (Planning, In progress, On hold, Completed or Cancelled), the Scope status, the Overall health and the Cost health.
- Budget
Optionally enter the Budget, Currency, Contingency and Forecast at completion.
- Create it
Select Create project. Its card appears under the company. Open the card to go into the project.
What SAP Activate adds
When the methodology is SAP Activate, ProjectCAPEX creates six phase rows in the plan, Discover to Run, spread evenly between your start and end dates. You can then add tasks under each phase and change the dates. Other methodologies start with an empty plan.
SAP Activate
- Six phases created in the plan
- Current phase shown on the card and in the project bar
- Phase line on the project card
Waterfall, Agile or Hybrid
- The plan starts empty
- No current phase is stored
- Add your own phases as tasks
Good to know
- The Project name, Start date and End date are required. The end date must be after the start date.
- The project form offers four currencies: AED, SAR, USD and EUR.
- Overall health is the RAG: On track (green), At risk (amber) or Off track (red). It shows on the card and at the top of every project page.
- Forecast at completion (EAC) is what you expect the project to cost in the end. Until the project has budget lines, the portfolio uses this figure and the Budget you enter here.
- The Team plan allows up to 3 projects. When the limit is reached, the company page says so. Professional and the personal plans have no project limit.
- Later, a project admin can rename the project and change its code and description (Project profile), switch modules off (Modules), and archive or delete it (Data). All of these are in Project settings, under ⋯ next to "In this project".
Who can do this
The company owner, and people whose company role is Admin or Project manager.
