People join a company first, with a company role. Then a project admin adds them to the projects they work on, where they can have a different role. This page covers both steps.
Before you start
Check first
- You are the company owner, or a company admin
- You have each person's work email address
- You know the role each person should have (see Roles and permissions)
How to invite people by email
- Open the invite
Inside the company or one of its projects, select the Invite people icon in the top bar (on wider screens). Or open the company page, choose the Team tab and select Invite member.
- Add the addresses
In "Invite with email", type one or more Email addresses. Separate them with commas or new lines. You can invite up to 20 people at a time.
- Pick the role
Choose the Role. For Functional lead, Technical lead and Consultant you can also pick a Workstream, such as FI (Finance) or MM (Materials).
- Send
Select Send invite (or Send 3 invites). The button stays off until every address is valid.
- Check the confirmation
The dialog shows Invitation saved and a line saying who the invitation email was sent to. Select Done.
- They accept by signing in
Each person shows in Team as Pending until they sign up or sign in with that same address. The invitation is accepted when they do.
What the email says
- Someone new to ProjectCAPEX gets the ProjectCAPEX invite email, with a link to join.
- Someone who already has an account gets a "You've been added" email instead.
- If the email can't be sent, the confirmation says "Saved. We couldn't send the email; share the link instead". The invitation is still saved. Select Copy link and send the link to the person yourself.
How to add someone to a project
- Open Project settings
In the project, select ⋯ next to "In this project", then Project settings. Choose the Project team tab.
- Add from the company
Select Add from company. Choose the Person and their Project role, then select Add. They get an email saying they were added, and you see a confirmation.
- Adjust
Change a person's role in the table, or set Project admin to Yes so they can manage the project's settings and team.
Good to know
- The invite dialog offers every role except Stakeholder. Stakeholders are free guests. Add them from Company admin, Team and roles, with Add member and the role "Stakeholder (free guest)".
- Stakeholders can view, log risks and issues, comment on decisions and complete actions assigned to them. They cannot edit the plan, budget or scope.
- The name is taken from the email address, for example jane.doe@ becomes Jane Doe. You can change it in Team later.
- The Team plan allows 3 to 10 editors and 10 free guests. Professional has unlimited editors and 25 free guests. Under Solo and Consultant, the owner is the only editor, with up to 25 free guests.
- A project role overrides the company role inside that project.
- The owner can resend or revoke a pending invite, or remove a member, from the Team tab. Company admins can resend from Company admin, Team and roles.
Who can do this
The company owner can invite from the top bar and from the Team tab. Company admins can add members from Company admin, Team and roles. Project admins can add company members to their project.
