Approvals collect on Home under Waiting on me. Each row is something only you, or people in your role, can decide: a decision, a change request or a quality gate. Documents waiting for your signature appear there too. You can decide each one in place without opening the project.
What shows up
- Decisions where you are the named approver and the request is pending.
- Change requests where you are the named approver and the request is pending.
- Quality gates that are ready for review or in review, on projects where your role may pass gates.
- Signatures: documents sent to you for e-signature, each with a Sign button. See E-signatures.
Each row shows the title, a tag (Decision, Change request or Quality gate), the reference and the project. A change request also shows its impact, such as "+$120,000 budget · +14 days". A gate shows how many of its criteria are met. The chip says when the gate is due, or how long the request has waited.
How to decide
- Read the row
Select the title if you want the full record. It opens Decisions, Scope (for change requests) or Quality gates in the project.
- Add a comment if you like
Select Comment and type in "Comment (optional), sent with your decision".
- Decide
Select Approve, Reject or Request changes.
- Done
The row leaves the list and the outcome is recorded on the record, with your comment and the date.
How to ask someone for approval
- Open the record
Open the decision or change request in its project.
- Find Approval
In the Approval section, under "Ask someone to approve it", choose a person from Choose a project member.
- Ask
Select Ask for approval. The badge changes to "Waiting for" and their name, and the item appears in their Waiting on me.
What each outcome does
- On a decision, Approve marks it approved, Reject marks it rejected, and Request changes puts it back under review.
- On a quality gate, Approve passes the gate and Reject fails it. See Quality gates.
- On a change request, the outcome is recorded on the request. See Change requests.
Good to know
- Only the approver can decide. When a person is named, nobody else can record the outcome, and the app says who must approve it.
- When nobody is named, anyone whose role allows it (Admin, Project manager or Executive sponsor) can decide from the record itself. Those unnamed requests do not appear on Home.
- While a request is pending, people who can edit the record (other than the approver) can Withdraw the request.
- Only project members with an account can be named as approvers.
- Comments can be up to 4,000 characters.
- If every role you hold is Executive sponsor, Home shows only this list, grouped into Decisions awaiting your approval, Change requests, Gate decisions and Signatures.
- Decisions and quality gates are on every plan. Change requests sit in the Scope module, which is part of Professional.
Who can do this
The named approver, whatever their role. When nobody is named, the company owner and people with the Admin, Project manager or Executive sponsor role.
