A status report tells sponsors and stakeholders where the project stands. ProjectCAPEX builds the report from what is already in the project, so you do not copy numbers by hand. Open it from the project menu: Overview, then Status reports.
What it's for
Use it for the regular report to your steering committee or sponsor. The app gathers the facts; you add the judgement in the commentary. Every saved report is kept, so you also build a history of how the project has moved.
What goes into a report
When you generate a report, the app reads the project at that moment and fills these sections:
- Project health: the project's health and current phase, and the share of tasks completed (phases and milestones are not counted as tasks).
- Milestones: milestones due between two weeks ago and two weeks ahead.
- Top 5 risks: open, mitigating and escalated risks, highest probability × impact score first.
- Top 5 issues: open and in-progress issues, most severe first, blockers ahead of others.
- Budget summary: Planned, Actual, Remaining budget and the share Used, from the budget plan and cost log.
- Key decisions: decisions dated from two weeks ago onwards.
- Overdue actions: open actions past their due date.
- AI assessment: the latest project health assessment, if you choose to include it.
Before you start
Before you generate a report
- Risks, issues and actions are up to date
- Milestones in the plan have current dates and statuses
- Costs for the period are in the cost log
- You know what you want to say in the commentary
How to create a report
- Generate it
On the Status reports tab select Generate report. The Preview and finalize page opens.
- Choose the type
Set Report type to Weekly, Monthly or Ad hoc. Weekly covers the last seven days and monthly the last month.
- Decide on the AI section
Tick or clear Include AI assessment.
- Add your commentary
Write in PM commentary: what changed, what worries you and what you need from the reader.
- Save it
Check the Report preview, then select Save as draft or Mark as final. Cancel throws the preview away.
Each report gets an ID such as ABC-SR-003 and a title with its type and date. The list shows every report with its ID, health, status and type. Select one to read it, and Close to go back.
Signing a final report
A report marked final shows a Signatures panel. Use it to ask the sponsor or steering members to sign the report. Each signer is emailed when it is their turn. See E-signatures.
Good to know
- The AI assessment uses the most recent health analysis from the project's Agents page. If none has been run, the section is left out.
- Status reports need Professional, Enterprise or a personal plan (Solo, Lifetime Solo or Consultant). The Team plan does not include them. See Plans and pricing.
- For a live view rather than a saved report, use the project's dashboards. See Dashboards and widgets.
Who can do this
Admins and project managers can generate reports, save drafts and mark reports final. Everyone on the project can read saved reports. See Roles and permissions.
